How to sync my email accounts with Gmail

You can sync your webmail account with Gmail, which gives 15GB free storage space per account. To do so:

1. Log in to your Gmail account and go into Settings menu:

2. Navigate to Accounts and Import tab.

3. Click on Add a mail account option in Check mail from other accounts section:

4. Enter the address of your cPanel email account and click on Next: 

5. Select Import emails from my other account (POP3) and click Next.

6. On the next page configure the settings as below. You can find your email configuration settings here.

Username: full cPanel email address
Password: password for your email account
POP Server: server your account is hosted on (it should come out automatically)
Port: 995 (if you have SSL installed, for the example we have it on the website). Use 110 if no SSL.

  • Untick 'Leave a copy of retrieved messages on the server', this way you can save the email quota on your web hosting account.
  • Only tick 'Always use a secure connection (SSL) when retrieving mail' if you have SSL installed

Click Add Account.

7. It will then ask if you want to send mail as you@yourdomain.com. This mean the recipient will receive the email as from you@yourdomain.com even though it is sent through Gmail. Select Yes and click Next.

8. Please enter the name you want the email to appear as to the recipient, then click Next Step.

9. Configure the settings as below. If you recall the configuration settings, we are setting up the incoming server above and now it is the outgoing server.

SMTP server: server your account is hosted on (it should come out automatically)
Username: full cPanel email address
Password: password for your email account
Port: 465 (if you have SSL installed, for the example we have it on the website). Use 25 if no SSL (587 if 25 doesn't work)

  • Gmail will automatically choose the option for you.  If you use an SSL port it will select Secured connection using SSL
  • If you did not use an SSL port it will select Secured connection using TLS
Click on Add Account once all the details are filled.

10. Now the final step. Gmail will send you an email with the verification code (it would be sent to your @yourdomain.com email address but since you already added the account in Gmail, the code will be delivered to Gmail inbox)

Click through the email link or paste it in the corresponding field and click on Verify to finish the setup process.

11. That's all! It wasn't so hard right? You can now use Gmail to send/receive emails as though you are using your own webmail. When you send or reply email there would now be a drop-down menu letting you to choose which email address (Outlook or webmail) you want the mail to appear from.
